Start with the work area and operating schedule

A useful brief identifies the task and the conditions under which lighting is needed. If a requirement is still undecided, mark it for discussion rather than guessing a specification.

Compare the power routes under the same conditions

Bring the same work area and schedule to each power-option discussion. Ask which load and operating conditions a proposed runtime refers to, and whether charging or refuelling is included. A figure for another product or another lighting level does not establish the result for your project.

For hybrid enquiries, request a description of how charging and backup are managed. Confirm whether any automatic control you require is included. Compare complete configurations and responsibilities rather than assuming that a power label determines runtime, cost or unattended operation.

Check access, mast space and deployment responsibilities

Include the route to the work area and the space available for transport, storage and deployment. Ask for the proposed equipment’s folded dimensions, handling requirements and operating envelope. Identify constrained entrances, soft or uneven ground, nearby services and space needed around the deployed equipment.

State who will move, position, operate and maintain the equipment. Request the relevant operating and maintenance documents with the proposed configuration. A project enquiry is not a substitute for equipment instructions or the site’s deployment assessment.

Keep lighting and monitoring requirements separate

If the project also needs cameras, list the monitoring area, connectivity and monitoring schedule separately from the lighting task. Confirm the power requirements of the complete proposed configuration rather than applying a lighting-only runtime to a monitoring system.

For emergency-response enquiries, distinguish portable equipment used at the scene from equipment intended for vehicle installation. Send the mounting, interface and vehicle requirements for review if installation is required. Do not select a portable light solely on the assumption that it can be integrated with a fire truck or other vehicle.

Prepare a project brief for a comparable quotation

  1. Describe the application and destination, with a site drawing or photographs where available.
  2. Add the work areas, lighting requirements and operating schedule, identifying anything still to be assessed.
  3. List available power, charging or fuel access, other loads and the maintenance arrangements.
  4. Describe transport, deployment space, mast requirements and who will operate the equipment.
  5. State the requested quantity, or ask for quantity discussion if it is not yet determined. Include delivery location and the configuration documents you need.

When reviewing quotations, compare what is included: equipment configuration, accessories, documents, packaging and delivery scope. Keep open requirements visible so a different scope is not mistaken for a different price for the same system.
